Ontario Veggies respects your right to request deletion of your personal information. This page describes how to submit a deletion request, what data we can delete, what data we are legally required to retain, and how long the process takes.
This page also serves as the Data Deletion Instructions URL registered with Meta’s App Dashboard for our Facebook Page, Instagram Page, and WhatsApp Business account integrations.
How to Submit a Deletion Request

Please include:
- Your full name.
- The email address or phone number associated with your account, orders, or messages.
- If your request relates to Facebook, Instagram, or WhatsApp interactions: your Facebook/Instagram profile name or WhatsApp phone number so we can identify the relevant records.
- A brief description of what you would like deleted (e.g., all personal information, only mailing-list subscription, only messaging history, etc.).
We may ask for additional information to verify your identity before processing the request. This is to protect your information from being deleted by someone other than you.
What We Will Delete
Upon receipt of a verified deletion request, we will delete or anonymise the following types of personal information within the timeframe set out in Section 4:
- Contact details you provided via our website contact form or email correspondence.
- Mailing-list subscription records and consent logs (you will be unsubscribed immediately upon verification and fully purged within the deletion timeframe).
- Chat history stored in our own systems from WhatsApp Business, Facebook Messenger, or Instagram Direct conversations.
- Order and customer profile data held in our own systems, to the extent not subject to a legal hold (see Section 3 below).
- Analytics: our Matomo analytics are configured in cookieless mode and do not store personal identifiers. There is generally no personal record to delete. If you believe a personally identifiable record was created, please describe it in your request.
What We Are Required to Retain
Certain information must be kept for legal, accounting, or regulatory reasons even after a deletion request. We cannot delete:
- Transaction and financial records — invoices, receipts, and payment records related to purchases, retained for seven (7) years as required by the Income Tax Act (Canada) and applicable Ontario tax requirements. These records will be held securely and used only for lawful financial and tax purposes.
- Records required by law or court order — any information subject to a legal hold, law-enforcement request, or ongoing dispute.
- Records necessary to resolve outstanding disputes or enforce agreements — for example, records relating to an unresolved order dispute or refund claim.
Where we retain data for a mandatory period, we will inform you of that fact in our response to your deletion request.
Note regarding Meta platforms
When you interact with our Facebook Page, Instagram Page, or WhatsApp Business account, Meta Platforms, Inc. processes your data as a data controller under their own Privacy Policy and Terms of Service. Deleting your data from Meta’s systems (e.g., your Facebook account or message history on Meta’s servers) must be done directly through Meta:

Ontario Veggies can only delete the data held in our own systems (e.g., records exported or stored in our customer management tools). We cannot delete data held by Meta.
Timeframe
- Acknowledgement: We will acknowledge receipt of your verified request within 5 business days.
- Completion: Deletion or anonymisation of eligible data will be completed within 30 calendar days of verifying your identity and the scope of the request.
- If the request is complex or involves a large volume of records, we may extend this period by up to an additional 30 days and will notify you of the extension and the reason.
After Deletion
Once deletion is complete, we will send you a written confirmation to the contact address you provided. If we are retaining any records under a legal obligation, we will specify which categories are retained and why.
